Photography Studio Terms & Conditions
Gift Vouchers
- All gift vouchers are non-refundable and non-exchangeable for cash.
- Vouchers may be transferred to another person prior to the session, provided we are notified in writing.
- Vouchers must be redeemed within 12 months of the purchase date unless otherwise stated.
- Lost, stolen, or expired vouchers cannot be replaced or extended.
- Vouchers cannot be used in conjunction with any other offers or promotions unless specified.
- Session dates may be transferred with a minimum of 7 days’ notice. Requests to reschedule within 7 days of the session date will require the purchase of a new photoshoot voucher.
Booking & Attendance
- Bookings are only confirmed once payment or a valid voucher has been received.
- Failure to attend a session without notice (no-show) will result in the session being forfeited with no refund or reschedule.
- Late arrivals may result in a shortened session at the photographer’s discretion.
Photographer Cancellation
- In the unlikely event the photographer is unable to attend due to illness or unforeseen circumstances, the session will be rescheduled or a replacement voucher issued. No additional compensation will be offered.
The Photoshoot Experience
- The photographer retains full creative control over the session, including posing, lighting, editing style, and final image selection.
- The photographer is not responsible for missed images due to late arrival, lack of cooperation, or session interruptions.
Studio Safety, Injury & Damage
- The photographer takes reasonable care to ensure the studio environment is safe.
- Clients enter the studio and participate in sessions at their own risk.
- Parents or guardians are responsible for the supervision and behaviour of children at all times.
- The photographer is not liable for accidental injury unless caused by proven negligence.
- The studio is not responsible for injury resulting from running, climbing, misuse of props, or failure to follow instructions.
- Any damage caused to studio property, props, equipment, or furnishings by clients or their guests may be charged for repair or replacement.
- Personal belongings are brought into the studio at the client’s own risk.
Digital Images & Downloads
- Digital images are supplied as high-resolution JPEG files only. RAW or unedited images are not provided.
- Once digital images have been delivered or downloaded, the photographer is not responsible for loss, damage, or corruption of files.
- Clients are advised to back up their images upon receipt.
Image Storage
- Final edited images are stored for a limited time only and may be permanently deleted without notice after this period.
Prints, Frames & Products
- Printed products and frames should be checked upon receipt. Any issues must be reported within 48 hours.
- The photographer is not responsible for damage occurring after delivery, including handling, environmental damage, or normal wear and tear.
- Custom products and frames are non-refundable once ordered.
Copyright & Usage
- The photographer retains full copyright of all images.
- Images are for personal use only and may not be altered, edited, or used commercially without written permission.
Acceptance of Terms
By purchasing a voucher, booking a session, or attending a photoshoot, clients confirm they have read, understood, and agreed to these Terms & Conditions.
Preserving Your Precious Memories
Wall Art Terms, Care & Warranty Information
Please read the following information carefully before purchasing wall art from Photography by Codie. By proceeding with your purchase, you acknowledge and agree to the terms outlined below.
Bespoke & Made-to-Order Products
All wall art products are custom-made and bespoke.
As such:
- All sales are final and non-refundable
- Frames may vary slightly in colour from studio samples
- Minor size variations may occur due to the bespoke production process
These variations are a natural part of custom manufacturing and are not considered faults.
Collection, Delivery & Transfer of Responsibility
Once wall art has been collected from the studio or successfully delivered in good condition, responsibility for the artwork transfers fully to the client.
Photography by Codie accepts no responsibility for any damage, deterioration, or issues arising after collection or delivery, including but not limited to:
- Handling
- Installation or hanging
- Placement
- Environmental conditions
- Accidental damage
- General wear and tear
Clients are responsible for ensuring safe handling and appropriate installation of all wall art.
Inspection & Reporting
Clients must inspect their wall art immediately upon collection or delivery.
Concerns raised outside of this timeframe will not be accepted.
Care & Placement Guidelines
To maintain the quality and longevity of your wall art:
- Do not hang frames above radiators or near heat sources
- Avoid direct sunlight, as heat and UV exposure may damage frames and affect print longevity
Damage caused by heat, sunlight, incorrect placement, accidental impact, or general wear and tear is not considered a manufacturing defect.
Warranty Information
Photography by Codie works with professional print and framing suppliers. Some products suppliers offer a 5-year manufacturer’s warranty from the date of purchase.
This warranty covers defects in materials or workmanship only.
The warranty does not cover:
- Damage caused by placement or environmental conditions
- Accidental damage or misuse
- General wear and tear
- Sample products
- Incidental or consequential loss
Where a defect is confirmed, suppliers will, at their discretion, repair or replace the product with an identical or comparable item at no charge.
Products showing evidence of tampering, misuse, abuse, or alteration will not be eligible for repair or replacement.
Warranty Claims
All warranty claims must be assessed and approved by the supplier.
Photography by Codie acts solely as a liaison and does not make warranty decisions.
Refunds are not available under any circumstances.
Acceptance of Terms
These terms apply to all wall art purchases made through Photography by Codie.
By purchasing wall art and/or collecting or accepting delivery of your artwork, you confirm acceptance of these terms.

CHRISTMAS COLLECTION
Terms & Conditions
BOOKING & PAYMENT
The Christmas Collection is £250 per session.
A £50 non-refundable booking fee is required to secure your chosen date and time. Your session is only confirmed once the booking fee has been received.
The remaining £200 balance is due 48 hours before your session. If the remaining balance has not been received by this time, your session may be released and offered to another client.
DATES & RESCHEDULING
The Christmas Collection will take place on 30th October, 31st October and 1st November only.
Due to the nature of the Christmas Collection, including the specially styled set, equipment, preparation and limited number of sessions available, sessions cannot normally be rescheduled or transferred to another date.
Please ensure you are available on your chosen date and time before securing your booking.
ILLNESS
If you or anyone attending your session is unwell, please do not attend the studio. Please contact us as soon as possible if you need to cancel due to illness.
As there are only 15 sessions available, an alternative session cannot be guaranteed. Where possible, we will always do our best to offer an alternative available slot.
If you have already paid your remaining £200 balance and we are unable to offer an alternative session, we will consider a refund of the balance depending on the notice given and whether we are able to fill your cancelled session. The £50 booking fee remains non-refundable.
CHILDREN & FAMILY GROUPS
Children must be 6 months or older and sitting unaided if you would like them to be photographed independently during their session.
Babies under 6 months are very welcome, however a parent must be included in the photographs with them.
A maximum of 4 siblings can be included within one booking.
Parents are very welcome to join their children in the photographs.
For cousins, extended families or groups of more than 4 children, consecutive sessions must be booked to allow enough time for everyone to be photographed.
GALLERY & DIGITAL IMAGES
Your £250 Christmas Collection includes your full digital gallery, with approximately 15–20 beautifully edited images from your session.
Your images will be delivered via a private online gallery with a digital download link, allowing you to download your photographs directly to your chosen device.
All images will be supplied in high resolution, copyright free suitable for printing and personal use.
Your gallery will be available to download within 2–4 weeks of your session.
We will always aim to have your images ready as soon as possible, however please allow the full 4 weeks, particularly as the Christmas Collection takes place around Codie's maternity leave.
THE CHRISTMAS SET
The Christmas Collection features a specially designed real-life Christmas set, created exclusively for these sessions.
The set will be styled as shown in the promotional imagery, although small styling changes may be made where necessary.
PHOTOGRAPHY & MATERNITY LEAVE
The Christmas Collection sessions will be photographed by Emmi, Photography by Codie's photographer, while Codie is on maternity leave.
Codie will continue to oversee the Christmas Collection, styling and overall experience, and will manage the editing and delivery of your images wherever possible.
As the Christmas Collection takes place around Codie's expected maternity leave, the 2–4 week image delivery timeframe allows for any unexpected changes around the arrival of her baby.
CHRISTMAS COLLECTION FAQ
How long is the session?
Each Christmas Collection session is 30 minutes. Please arrive on time with little ones dressed and ready to go. If you are more than ten minutes late your session may be cancelled.
What is included for £250?
Everything! Your session includes the full digital gallery of approximately 15–20 beautifully edited images, delivered via a private online gallery with a download link.
Do I need to choose my favourite images?
No. That's the beauty of this year's Christmas Collection! Your full gallery is included, so there is no choosing just 3 images.
Can parents be in the photographs?
Absolutely. Parents are very welcome to join in.
Can I bring my baby?
Of course! Babies under 6 months are welcome but will need to be photographed with a parent. Babies aged 6 months+ who are sitting unaided can be photographed independently.
Can I include cousins?
Yes! If you'd like to include cousins or have more than 4 children, please book consecutive sessions so we have enough time to photograph individual galleries as well as together.
Can I bring my own Christmas props?
You don't need to! The set is fully styled for you, so just bring yourselves and your outfits. If there's a special little item you'd love to include, you're welcome to ask beforehand.
What should we wear?
We recommend cream, ivory, beige, white and neutral tones, or matching Christmas pyjamas. Think cosy, simple and timeless. If you want children to wear shoes please make sure these are clean.
When will I receive my photographs?
Your gallery will be ready within 2–4 weeks after your session, delivered via a private online gallery with a high-resolution download link.
Who will be photographing our session?
Emmi will be photographing the Christmas Collection this year while Codie is on maternity leave. Codie will still be overseeing the collection and experience behind the scenes.
Can I change my session date?
Because the Christmas Collection is running across just three specific dates, with a limited number of sessions and a specially created set, sessions cannot be moved.
What happens if we are ill?
Please don't attend if you or your children are unwell. Contact us as soon as possible and we will see if we can offer an alternative available session. An alternative slot cannot be guaranteed, and the £50 booking fee remains non-refundable.
How do I book?
Your session is only confirmed once the deposit has been received.
